How we count

Months and years end on the same day number, or on the last day of the month if there is no such day; they start the day after the date you give. A deadline that ends on a weekend moves to the next working day. Document validity is not moved: the date shown is the last day it stays valid, even on a weekend. Days are working days unless a law says otherwise.

In short

  • Criminal record: We found no Gambian page naming who issues the criminal record certificate: the Foreign Ministry lists a Certificate of Character, the Madrid honorary consulate gives that as the Gambian title of the certificate it translates and legalises, and the consulate also lists a consular good conduct certificate for Spanish nationality that we cannot say is the one Spain means; the Foreign Ministry's table gives 200 dalasi per page for authenticating a Certificate of Character, but we found no fee for issuing it and no validity, so the clock uses six months.
  • Birth and marriage: The Gambian Embassy in Brussels says birth certificates are issued solely by the Office of the Registrar of Births at the Ministry of Health and Social Welfare; the Foreign Ministry's table gives 200 dalasi per page for authenticating a Gambian birth certificate; we found no page on requesting one from abroad, no fee for issuing it and no validity.
  • Legalisation: We did not find The Gambia in the HCCH table (30-VI-2026), so the route described is legalisation: the Foreign Ministry's page describes authentication (stamping) handled through its Protocol Division, the Spanish Consulate General in Dakar says it legalises Gambian documents previously legalised by the Gambian Foreign Ministry and the Gambian Embassy in Senegal, and the Madrid honorary consulate says a nationality file does not need the Dakar step, which we found no Spanish text to confirm.
  • Translation: We found no official page on the language of Gambian certificates; Spain's order says "traducido en su caso" for the birth certificate and "traducido" for the criminal record, and the Madrid honorary consulate says it can translate into Spanish and legalise, without saying whether that is accepted for a nationality file.
  • Order: Our arithmetic, not an official rule: request first the documents that need legalisation and a sworn translation, then the criminal record certificate, so that you can finish its legalisation and translation while it is still valid; the clock below gives the dates.
  • Consulates: The Foreign Ministry's directory lists a Gambian embassy in Madrid and honorary consulates in Barcelona, Girona and Madrid; the Madrid honorary consulate's page covers translation, legalisation and consular certificates.

Each line sums up a section below. The sources are in that section.

1. Criminal record certificate

The Gambian Foreign Ministry's page on authentication of documents has a table whose cost column is headed "Cost (Dalasi) per page".[1] The table lists a "Certificate of Character" at 200[2] and, as a separate line, a "Police Report (lost document etc.)" at 250.[3] The page does not say which body issues either document, or whether the Certificate of Character is the criminal record certificate.

2. Birth certificate, and marriage certificate if you are married

The FAQ of the Gambian Embassy in Brussels says the Embassy does not issue birth certificates and that the document is issued solely by the Office of the Registrar of Births at the Ministry of Health and Social Welfare.[1] It adds that this office has branches in almost all the public hospitals and health centres in the country, and that replacement of birth certificates can therefore only be done by this authority.[2]

The Ministry of Health's page on its Directorate of Planning and Information lists a Birth and Death Registration Unit and says it manages the registration and documentation of vital events, such as births and deaths, to support public health surveillance and policy development.[3] The page does not say that the unit issues certificates.

The Foreign Ministry's authentication table lists a "Gambian Birth Certificate" at 200 per page, in the column headed "Cost (Dalasi) per page",[4] and marriage certificate lines marked Cadi and Justice, each at 200,[5] with further lines headed "Marriage Certificate (Justice) – ECOWAS" at 300 and "Marriage Certificate (Justice) – Non-Gambian and Non-ECOWAS" at 500.[6] The page does not say which body issues each marriage certificate.

The Madrid consulate's list of documents it translates into Spanish and legalises includes a birth certificate ("Birth Certificate" in Gambia)[7] and a marriage certificate ("Marriage Certificate" in Gambia).[8]

Spain asks for the birth certificate of the country of origin, duly legalised and translated "en su caso" (where applicable).[9] If you are married, it also asks for the marriage certificate of the country where the marriage took place.[10] We found no official Spanish text saying which kind of copy (extract or full) it wants: ask the registry.

What we did not find. No Gambian page we found says how a person living in Spain requests a birth or marriage certificate from the registry (online, through a relative or by power of attorney), what the registry charges for it, how long it takes or what validity it has. Spain's order says all documents must be in force when you apply.[11] We found no page stating a validity for a Gambian birth or marriage certificate: ask the registry.

3. Legalisation

The HCCH status table for the 1961 Apostille Convention (last update 30-VI-2026) counts 130 Contracting Parties; we did not find The Gambia among those listed.[1] We found no Gambian apostille authority, so the route described below is legalisation. The HCCH table can change, so check it again before you start. Spain's Ministry of Justice warning says that "en el resto de los casos" there is an obligation to legalise public documents through the diplomatic route,[2] and describes the two steps, adding that the Spanish consular step carries a fee.[3] It also names the Foreign Ministry's Servicio de Legalizaciones in Spain, where it says legalisation is always free,[4] and calls legalisation of foreign documents an essential requirement.[5] Spain's Foreign Ministry says, as its general rule, that foreign public documents that need diplomatic legalisation must be legalised first by the Foreign Ministry of the issuing country and then by the Spanish diplomatic representation of the consular district concerned.[6]

On the Gambian side, the Foreign Ministry's page says all authentication (stamping) of documents and related payments should be made at the designated banks: EcoBank, Access Bank, GTBank (Guaranty Trust Bank) and Bloom Bank.[7] It says to complete the required form online before paying at the bank[8] and, once the payment is made, to obtain the official receipt and submit it to the Protocol Division at the Ministry for verification and processing of your documents.[9] The table on that page gives an amount in dalasi per page for each type of document, including the birth certificate, the marriage certificates and the Certificate of Character quoted above.[10][11][12]

On the Spanish side, the page of the Spanish Consulate General in Dakar says its consular district covers the territories of Senegal and Gambia.[13] Its contact page says that, since Senegal joined the Hague Apostille Convention, only Gambian documents are legalised there.[14] A notice on its site (the PDF carries no printed date) says that Gambian documents previously legalised by the Ministry of Foreign Affairs of Gambia and the Embassy of Gambia in Senegal, to be presented afterwards in Spain, are legalised at that Consulate General.[15] The notice says access is at 8:00 on any working day from Monday to Wednesday,[16] that each person may legalise a maximum of 10 documents[17] and that legalised documents are collected the next day at 13:00.[18] We found no price on that notice, and it does not mention nationality files.

Sources differ on the Dakar step for a nationality file. The Honorary Consulate of The Gambia in Madrid says that Gambian documents intended for proceedings before the Civil Registry, such as applications for Spanish nationality or marriage registration, do not need to be legalised at the Consulate General of Spain in Dakar.[19] It says it is sufficient to have the legalisation of the Gambian Foreign Ministry and then the translation and legalisation by that consulate and by Spain's Foreign Ministry.[20] Another page of the same consulate gives the scope as administrative procedures before the Civil Registry, such as obtaining Spanish nationality,[21] and says that in this case legalisation by the Consulate of Spain in Dakar is not necessary.[22] Spain's Foreign Ministry says that, for Registro Civil procedures only, the legalisation by the Spanish diplomatic representation in some countries can be replaced by that of the foreign country's diplomatic representation in Spain followed by legalisation by its Legalisation Service,[23][24] and its page names no countries. We found no Spanish text saying that this applies to The Gambia or that a Gambian document for a nationality file may skip the Dakar step: ask the registry or the Foreign Ministry's Legalisation Service.

The Madrid consulate's page on Gambian documents says that, for a document to take effect before the Spanish authorities, the legalisation of Spain's Ministry of Foreign Affairs must be obtained afterwards.[25] It says that documents submitted for legalisation before the Tuesday of a given week are sent for legalisation that same Tuesday and, in principle, may be collected on the Tuesday of the following week.[26] Spain's Foreign Ministry says, about its own diplomatic legalisation, that it has no expiry date but that, if the document has a validity period, legalisation does not extend it.[27]

What we did not find. The Foreign Ministry's page prints no delay for authentication, and we found no Gambian page naming a step before it, such as a notary or the Ministry of Justice. The Ministry's table lists a Certificate of Character at 200 dalasi per page,[28] which the Madrid consulate gives as the Gambian name of the criminal record certificate;[29] we found no Gambian page saying in so many words that the Ministry authenticates the criminal record certificate under that name, or whether the step by the Embassy of Gambia in Senegal, named on the Dakar notice, applies to a document for a nationality file.

4. Translation into Spanish

We found no official page saying in which language Gambian certificates are written. The Madrid consulate's page says that at the consulate it is possible to obtain the translation into Spanish and legalisation, for use in Spain, of documents issued in Gambia.[1] Spain's order says "traducido en su caso" for the birth certificate and "traducido" for the criminal record.[2][3]

The Spanish Ministry of Justice warning says translation is done or checked at Spanish consulates abroad or at the consular offices in Spain of the document's country of origin, and that the documents must then be legalised. It adds that a sworn translator-interpreter named by the Ministry of Foreign Affairs can do the translation or check.[4][5]

We found no page saying whether a translation made at the Honorary Consulate in Madrid is accepted for a nationality file, or whether a sworn translator is needed: ask the registry.

5. Consulates in Spain

The Gambian Foreign Ministry's directory of missions lists an embassy in Madrid, at Calle Hernandez Iglesias 20B, whose jurisdiction it gives as Spain, Italy, Greece, Malta and the Rome-based UN agencies FAO, WFP and IFAD.[1] Its list of honorary consuls names Barcelona (with Madrid as the responsible mission),[2] Girona[3] and Madrid (also with Madrid as the responsible mission).[4] The directory lists no services for these offices.

The Honorary Consulate in Madrid describes itself as the "Consulado Honorario de la Republica de Gambia en Madrid".[5] Its page gives the address Calle Alfonso XII, 46, 6º Izquierda, 28014 Madrid,[6] and opening hours from Monday to Friday, 10:00 to 14:00.[7] The sections above show what that page says about translation, legalisation and consular certificates.

6. Order of requests and validity

Spain's order says that all documents must be in force when you apply.[1] For certificates, the validity stated on the certificate itself counts,[2] and a criminal record certificate with no stated validity counts for six months from the day it was issued.[3]

Legalisation does not make a document last longer. Spain's Foreign Ministry says legalisation has no expiry date but that, if the document has a validity period, legalisation does not extend it.[4]

When you create the online application you have two months to complete and file it, or it is deleted.[5]

Our arithmetic, not an official rule. The sources above fix how long a document stays valid, not the order in which you request things. If the validity counts from the day of issue, and the legalisation and a sworn translation take time afterwards, the request date matters most for the documents with the shortest validity. Type a date in the clock below to see when your criminal record certificate stops being valid, then count back the time the legalisation and the translation take in your case.

  1. Find out what validity, if any, each issuer prints on its certificate (the sections above say what we found).
  2. Request first the documents that need a legalisation and a sworn translation, since those steps come after issue.
  3. Request the criminal record certificate when you can still finish its legalisation and translation inside its validity.
  4. Type its issue date in the clock below and file before the "valid until" date it shows.
  5. Create the online application only when you are close to filing: from creation you have two months.
